CANCELLATION POLICY

1. POLICY OVERVIEW

This policy outlines the cancellation, early termination, and billing procedures for Cool Solutions portable air conditioning rentals. The purpose of this policy is to provide transparent expectations while protecting installation labor, logistics, scheduling, and equipment costs. 

2. GENERAL CANCELLATION STRUCTURE 

All cancellations require a minimum of 30 days’ notice. Installation and setup fees are non-refundable once installation has been completed. 

Equipment must be returned in reasonable condition subject to normal wear and tear

Retrieval scheduling is coordinated based on technician availability and building access. 

3. ESSENTIAL ANNUAL PLAN – 12-MONTH COMMITMENT

The Essential Annual Plan is offered at a reduced monthly rate in exchange for a 12-month minimum service commitment. Customers may request early cancellation at any time; however, cancellation does not eliminate the remaining balance owed under the 12-month commitment period. Monthly billing may continue until the commitment is satisfied, or the remaining balance may become immediately due at the discretion of Cool Solutions. 

4. SUMMER PLAN – MONTH-TO-MONTH SERVICE

The Summer Plan operates on a month-to-month basis following installation. Customers may cancel service with 30 days’ notice. Rental charges continue during the notice period. Installation fees remain non-refundable. 

5. HEAT WAVE PRIORITY PLAN – MONTH-TO-MONTH SERVICE 

The Heat Wave Priority Plan includes expedited scheduling and priority service during high-demand periods. Customers may cancel with 30 days’ notice. Rental charges continue during the notice period. Installation fees remain non-refundable.

6. MID-SEASON MOVE-OUT

If a resident moves during the rental period, the customer remains responsible for applicable notice periods and minimum commitments. At the discretion of Cool Solutions, equipment may be transferred to another approved unit or resident subject to scheduling and additional installation charges.

7. NOISE CONCERNS

Portable air conditioning systems produce audible operational noise during normal operation. Customers acknowledge this during installation. Noise dissatisfaction alone does not waive minimum commitments or notice requirements. 

8. COOLING PERFORMANCE CONCERNS

Cooling performance may vary based on environmental conditions, insulation, room size, sunlight exposure, and building characteristics. Cool Solutions may attempt reasonable adjustments or unit upgrades where appropriate; however, dissatisfaction with cooling performance does not eliminate contractual payment obligations. 

9. BUILDING OR STRATA-REQUIRED REMOVAL 

If removal is required by a landlord, strata, or building authority, Cool Solutions will coordinate retrieval as promptly as reasonably possible. For month-to-month plans, billing stops following removal. Installation fees remain non-refundable. 

10. EQUIPMENT FAILURE

In the event of equipment malfunction during normal use, Cool Solutions will make reasonable efforts to repair or replace the equipment. Billing continues during replacement efforts unless otherwise determined by Cool Solutions. 

11. MISSED APPOINTMENTS & ACCESS DELAYS

Customers are responsible for ensuring access to the unit for retrieval or service. Missed appointments or denied access may delay retrieval and may result in continued billing until retrieval is completed. 

12. POLICY SUMMARY 

This policy is intended to provide fair, transparent, and predictable handling of cancellations while protecting the labor, logistics, scheduling, and equipment investments required to provide portable cooling services.
